Rostering Setup for State Tournaments
For state tournaments such as State Cup and Presidents Cup, rosters will be cloned from the state’s official rostering event after teams are finished registering. Prior to opening registration for your event, you will want to eliminate the ability for teams to create rosters after they register.
Step 1: From the event setup page, click on “Access and Options”
Step 2: Deselect “Build and modify event roster”
Step 3: Ensure the roster clone and roster source settings are blank with “None Selected”. All checkboxes should be deselected as well, including “Allow team selection of roster source event”, “Require team selection of roster source event”, and “Require Team Selected of Roster Clone Event”. Once all changes are made, click “Save” at the bottom of the page.
Step 4: After the event registration has closed, go to “Association” > “Events” > locate the event > and click on the event name
Step 5: You will then see a list of teams registered to that event. Using the “Also Registered In” filter, select your Official Rostering Event and click search.
After clicking Search, you will click on the first checkbox on the team registrations list (to bulk select all) and select “Clone Roster” from the bulk actions options.
Click “Submit” on the next pop up to clone all team’s rosters from the state’s registration event
**If you allow roster modifications after the clone see step 6. If you do not allow roster modifications after the clone, skip to step 7
Step 6: After all rosters have been cloned, go back to “Scheduling” > “Events” > “Access and Options” > and enable the “Build and modify event roster” setting.
In addition, if you allow teams to remove approved players, deselect the “Hide ability to remove approved players” option, otherwise leave this turned on.
If you allow teams to add "Club Pass" players, enable the "Include Club Pass status on roster builder setting.
Click Save.
Step 7: When the time comes to freeze the event rosters, you will go to “Association” > “Events” > and click on the Event Name again
Step 8: Select either the check boxes next to the team names, or the first checkbox at the top of the list to select all the teams. Then click “Freeze Rosters” from the bulk actions options. All rosters will now be frozen and unable to make any changes to
